Five Tips to Keep Gmail Running Smoothly for Your Business

Gmail is the most popular email service available, especially among businesses. Keeping it responsive and up-to-speed will ensure your business stays on track.

When Google launched its first app—Gmail—in 2004, the webmail service was an instant hit, offering unheard-of solutions such as 1 Gig of storage, built-in Google search, and speed. In fact, by blocking spam and conveniently clustering emails into conversation threads, Gmail quickly became one of the most used email services. By 2019, Gmail had over 1.5 billion active users. Today, over 5 million businesses take advantage of Gmail and the comprehensive administrative and creative tools offered by Google’s G Suite. While the Gmail app may be known for speed, storage, and innovation, it is not uncommon for users to experience some lag in Gmail speed. If you or your business depend on G Suite to keep things running smoothly, here are 5 ways to improve Gmail speed and efficiency.

Improve Speed of Gmail

Change Your Inbox View

In an attempt to give users plenty of options, Google offers five distinct ways to view your inbox. If you haven’t explored the world of Gmail inbox views, now is a great time to take a look. Under your gear icon, you have the ability to choose an inbox layout that fits your workflow. Keep starred emails at the top of your inbox, opt to have unread emails be the priority, or let Gmail sort your most important emails to the top of the list. All of these options and more are available. With the default inbox, however, Gmail can automatically filter your emails to specific tabs, which you can add more or less of depending on how you work. This is where speed plays a role. The more tabs you have, the harder Gmail is working to sort your email when you open the app. In order to increase your Gmail speed, consider reducing the number of tabs you use or switch to a new inbox view entirely.

Archive Old Emails

One major thing bogging down your Gmail inbox is the number of emails it has to load every time you use the app. Instead of keeping old emails sitting in your inbox, you can archive them using the archive icon at the top of your inbox. The email archive allows you to seamlessly store your older emails, removing them from your inbox but making them easily accessible should you need to reference them. By archiving emails, your inbox will only need to load new, unread or unanswered emails, improving your Gmail speed.

Turn Off Chat

Many Gmail users like to utilize chat throughout the day with co-workers and contractors, allowing them to stay informed on current projects. Chat, however, does have an impact on your Gmail speed, especially when first loading your inbox. Turning off your chat can have a positive impact on Gmail speed as well as your ability to focus. When you aren’t using the chat application, or you wish to avoid being interrupted, you can switch it off entirely in your Gmail settings.

Limit Your Email Conversations

Another Gmail speed inhibitor is the number of email conversations you have visible at one time in your inbox. For instance, you can view up to 100 conversations per page. This means, however, that Gmail must load 100 email conversations every time you access your inbox or scroll to a new page. Instead, update your conversation view to a lower number (options range from 10 to 100), and watch your Gmail speed improve dramatically.

Install an Ad Blocker

Installing an ad blocker is a great way to improve both Gmail speed and browser speed. While some browsers already have built-in ad blockers, it is worth trying a few different options to compare your current speeds with any changes caused by the ad blocker. Not all ad blockers are created equal, and using one can sometimes prevent you from accessing needed information on both Gmail and other sites. Most ad blockers can be switched on and off for your convenience, however, allowing you to take advantage of increased Gmail speed as well as fewer ads when you browse the internet.
